ERP systems rarely fail all at once. It starts with a report nobody trusts, then a "temporary" Excel file next to the system, until the file becomes the reference. If you recognise several of the signs below, the system needs an assessment before the gap widens.
The seven signs
- System stock value doesn't match the count, and the differences recur.
- Finance manually corrects automatic entries every month.
- Management asks for reports from Excel, not from the system.
- Staff skip steps in the system because they're "slow" or "illogical".
- Every update or upgrade breaks a customization.
- Nobody in the company knows why the system was set up this way.
- The provider who implemented it no longer responds, or replies with unexpected costs.
Three kinds of problem
Configuration problems: wrong stock valuation or accounts, or warehouse routes that don't reflect reality. These can usually be fixed without a rebuild.
Data problems: unreconciled opening balances or duplicate items. These need a clear accounting correction plan.
Adoption problems: a technically sound system, but processes never changed and training was never finished. The most common, and the cheapest to treat.
Fix or re-implement?
Most stalled systems don't need to start over. The decision rests on three questions: Can the data be corrected? Can the customizations be replaced by standard settings? Is the Odoo version still supported? A one-week assessment is enough to answer them clearly.
